Client onboarding
“Onboarding for new accounting clients: company details, directors, ID upload and a signed engagement letter.”
A step-by-step form with uploads and an e-signature. Missing documents are flagged and chased.
// Forms · onboarding · payments
Registrations, client onboarding, bookings and payments, with the database, emails, approvals and dashboard behind them. Say what you need in plain words, check the plan, and share the link. No code, no templates to wrestle.
Sign in with your email or Google. Payments go straight to your own Stripe account.
// How it works
No drag-and-drop builder, no spreadsheet glue. Xenpai asks a question or two if it needs to, then shows you exactly what it will build.
Say what you need the way you'd brief a new assistant: who fills it in, what you need from them, what they pay, and what should happen next.
Before anything goes live you see every form, question, email and table Xenpai will set up. Ask for changes in plain words until it's right.
Deploy with one click and share the link. People fill it in on their phone, pay if needed, and every response lands in your console.
// Features
A form is where the work starts. Xenpai sets up what happens after someone presses submit.
From a three-question booking to a festival application with repertoire, fees and follow-ups. Your customers get a calm, branded form that works on any phone.
Take card payments when people submit, or send a personal payment link once you've reviewed them. Refunds in one click.
You decide which emails go out on their own. The rest wait in Approvals: read them, then approve and send.
Every response is stored properly, with statuses, filters, CSV export and a live dashboard of what matters.
Accepted someone? Send a personal link to the next form, already filled in with what they told you.
Invite staff to work through submissions. Owners keep control of payments, refunds and who's on the team.
// Assistants
Tell Xenpai your rules, like “groups need 16 to 40 singers” or “every client uploads ID”. An assistant checks each new submission against them, the moment it arrives.
Each problem in one plain sentence, on the submission itself.
Incomplete submissions go to Needs info, so your list shows what's ready.
A friendly note asking for exactly what's missing. It waits for your approval.
Nothing to set up: Xenpai adds an assistant when your form needs one. Pause it any time.

// FAQ
No. You describe what you need in plain words and review a plain-English plan. Everything is set up for you, and changes work the same way.
Forms and everything around them: registrations and applications, client onboarding, bookings, orders and quotes, surveys, and payments through forms, with the emails, approvals, follow-ups and dashboards they need. It isn't a website builder or a general chat assistant.
You connect your own Stripe account in a few minutes. Customers pay by card on Stripe's secure checkout and the money goes to your account. Xenpai's fee is 2% of each payment, on top of Stripe's own fees, and refunds are one click.
Yes. Ask for the change in the chat and you'll see exactly what will change before you deploy it. Everything already submitted is kept.
It checks each new submission against your rules, moves ones with a problem to a status like Needs info, and drafts an email asking for what's missing. It never sends that email by itself: it waits for your approval. You can pause it any time.
On Amazon Web Services in Singapore, backed up nightly. You can export any table to a spreadsheet (CSV), and uploaded files as a ZIP, whenever you like.
